Administrative Assistant

Location: 

One Position Open at Mesa Site 

One Position Open at Las Vegas Site


Type of Job: 

Part-Time (20-25 hours/week)


Main Areas of Responsibility: 

Reports to CEO(s) from two different organizations. The Project Assistant MUST have experience in administrative/office duties. The Administrative Assistant is responsible for the efficient coordination of task or service offerings; the facilitation of communication with the United Natives team and contributors, serve as a liaison between supervisors and contributors, and updating project timetables, schedules and progress reports. 


Additional Areas of Responsibility: 

  • Report preparation and data collection for analysis
  • Review, distribute and organize project documents
  • Prepare correspondence related to project
  • Maintain project records and ensure regulatory documents are correct, processed and approved
  • Communicate the needs of the office space to supervisor and preform necessary office needs as they arise


Other Information/Requirements:

  • Bachelor's degree
  • Administrative experience
  • At least 1-year of project assisting or administrative assisting experience in nonprofit, private or public organizations
  • In depth knowledge of Native American culture and tribal community organizations
  • Exceptional interpersonal skills

Grant Coordinator

Location: 

(Mesa/Phoenix Area)


Type of Job: 

Part-Time and/or Full-Time (40+ hours/week)


Main Areas of Responsibility: 

Reports to CEO of organization. A Grants Coordinator is responsible for coordinating the organization's efforts to obtain grant funding by the identification and development of viable proposals for external funding of programs which address educational priorities and goals; assesses program needs; provides technical assistance to administrators and staff regarding potential funding sources, strategies and preparation of proposals and budgets; establishes networks with representatives from other organizations and funding sources; facilitates and coordinates the organization's grants review process; does related work as required. 


Additional Areas of Responsibility: 

  1. Coordinates the planning and preparation of grant proposals for organization
  2. Aids in the budgeting and preparation of grant proposals; researches requirements and compiles and prepares comprehensive budget justifications
  3. Prepares and compiles all components of each grant submission
  4. Advises and/or assists as appropriate in the design, formatting and preparation of grant documentation
  5. Develops and maintains specialized databases and systems for recording and tracking grant proposals, awards, and related statistical information; creates and distributes standard and special reports, studies, summaries, and analyses, as required.
  6. Monitors and coordinates the administration of post-award grants to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed
  7. Manages administrative problems and/or budget changes occurring during the awarded granting period.
  8. Maintains knowledge of grant funding policies, regulations, and procedures; disseminates and/or presents changes to departments and advises on the implementation of changes, and on the impact of changes on funded operations.
  9. Performs miscellaneous job-related duties as assigned.


Other Information/Requirements:

  • In depth knowledge of Native American culture and tribal community organizations
  • High school diploma or GED; at least 4 years of experience directly related to the duties and responsibilities specified
  • Budget management experience required
  • Ability to develop and produce grants and other proposals.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to determine informational needs, to collect and analyze information, and to devise and develop statistical analyses and reports.
  • Skill in the use of personal computers and related software applications.
  • Database management skills.
  • Skill in organizing resources and establishing priorities.
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
  • Ability to provide technical advice and information to faculty and staff in area of expertise.
  • Ability to make administrative/procedural decisions and judgments.
  • Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.
  • Knowledge of federal, state and/or community funding sources and mechanisms.
  • Knowledge of budgeting and fiscal management principles and procedures.
  • Ability to conduct literature searches.
  • Knowledge of potential sources of health care contract and grant funding.

Grant Writer

Location: 

(Mesa/Phoenix Area)


Type of Job: 

Part-Time and/or Full-Time (40+ hours/week)


Main Areas of Responsibility: 

Reports to CEO of organization and Grant Coordinator. Grant Writer will work closely with the Grant Coordinator in efforts to obtain grant funding by the identification and development of viable proposals for external funding of programs which address educational priorities and goals and is directly responsible for grant writing. 


Additional Areas of Responsibility: 

  • Prepares proposals by determining concept, gathering and formatting information, writing drafts, and obtaining approvals.
  • Determines proposal concept by identifying and clarifying opportunities and needs, studying requests for proposal (RFPs), and attending strategy meetings.
  • Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal.
  • Enters and monitors tracking data.
  • Coordinates requirements with contributors and contributes proposal status information to review meetings.
  • Gathers proposal information by identifying sources of information, coordinating submissions and collections, and identifying and communicating risks associated with proposals.
  • Develops proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation.
  • Writes, revises, and edits drafts including executive summaries, conclusions, and organization credentials.
  • Prepares presentation by evaluating text, graphics, and binding and coordinating printing.
  • Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; maintaining proposal support databases.
  • Obtains approvals by reviewing proposal with key providers and project managers.
  • Improves proposal-writing results by evaluating and re-designing processes, approach, coordination, and boilerplate.
  • Updates job knowledge by participating in educational opportunities; maintaining personal networks.
  • Accomplishes organization goals by accepting ownership for accomplishing new and different requests, and exploring opportunities to add value to job accomplishments.


Other Information/Requirements:

  • Bachelor’s degree in English, Journalism, Media, or related field
  • Minimum of 1-year experience in grant writing, prospect research, general fundraising or a minimum of 2 years comparable and transferable skills acquired in a professional setting

Billing Operator

Location: 

(Mesa/Phoenix Area)


Type of Job: 

Full-Time (40+ hours/week)


Main Areas of Responsibility: 

Reports to CEO of organization. The Billing specialist to undertake a variety of financial and non-financial tasks in order to help guarantee the company’s revenues. You will handle the processing of incoming payments along with the issuing of necessary paperwork.


Additional Areas of Responsibility: 

  • Assume the responsibility of receiving and sorting incoming payments with attention to credibility
  • Manage the status of accounts and balances and identify inconsistencies
  • Issue and post bills, receipts and invoices
  • Check the validity of debit accounts
  • Update accounts receivable database with new accounts or missed payments
  • Ensure all clients/partners remain informed on their outstanding debts and deadlines
  • Provide solutions to any relative problems of clients
  • Write thorough reports on billing activity with clear and reliable data


Other Information/Requirements:

  • In depth knowledge of Native American culture and tribal community organizations
  • Proven experience as Billing Specialist
  • Adherence to laws and best practices in regards to dealing with customers and data
  • Comfortable dealing with numbers and the processing of financial information
  • Excellent knowledge of MS Office (particularly Excel) and ER software (JDE or other)
  • Results-driven and patient
  • High degree of attention to detail and trustworthiness
  • BSc degree in Finance, Accounting or BA
